About the Company
The Shared Services Centre (SSC) at UNOPS delivers policy guidance, operational support, and high-quality transactional services to UNOPS offices globally. SSC comprises three core teams: HQ Administration & ICT Helpdesk, Corporate Administration, and Health, Safety, Social and Environment (HSSE). The SSC enhances cost-efficiency, streamlines administrative operations, strengthens compliance, and mitigates risk across service areas.
About the Role
The Payroll Assistant supports accurate and timely administration of payroll services for personnel, ensuring compliance with UN/UNOPS rules and regulations, maintaining data integrity and confidentiality, and contributing to efficient financial and HR operations.
Responsibilities
- Process UNOPS payroll accurately and on time.
- Process and maintain personnel payroll information, including new hires, terminations, pay changes, deductions, and payment instructions.
- Calculate and process earnings and deductions; reconcile and balance payroll accounts.
- Maintain and update payroll records and databases and archive supporting documents properly.
- Respond to payroll-related queries/requests, investigate erroneous entitlements and take corrective actions, and make timely adjustments to restore payroll balance.
- Collaborate with internal stakeholders and projects/clients to ensure compliance with UNOPS payroll policies and to resolve documentation discrepancies.
- Maximize use of technology to inform projects/clients of payroll elements and changes, and provide payroll reports in compliance with UNOPS Financial Rules and Regulations.
- Support coordination for monthly payroll account reconciliation, participate in training for operations/projects personnel, contribute to knowledge networks, and perform testing for accuracy of implementations or system enhancements.
Qualifications
- Education: Secondary school (or equivalent) with 4 years relevant experience OR a bachelor’s degree (or equivalent) in any discipline with 0 years relevant experience.
- Desired: A globally or nationally recognized professional certificate in Payroll is desired.
- Experience: Relevant experience supporting payroll, accounting, HR administration, and/or general administration is required.
- Required technical: Experience using collaboration and productivity tools (e.g., MS Office, G-Suite) and web-based management systems.
- Desired experience: Working in multicultural environments or UN system organizations, and experience in development or humanitarian contexts.
