About the Role
We are seeking an Onboarding Specialist / Medical VA to guide new patients through onboarding and manage clinical administrative duties. This role combines customer service, medical documentation, and care coordination to support clinical staff and ensure smooth patient transitions.
Responsibilities
- Customize initial discussions based on patient needs and explain program benefits tailored to specific health conditions.
- Manage inquiries via phone, email, and voicemail inboxes, including message routing and prompt responses.
- Process and manage referrals, working to convert referrals within a 7–10 day timeframe while handling multiple referral loops for a large patient panel.
- Perform comprehensive data entry for clinical survey scores/results, diagnostic tests, RPM and RTM data streams.
- Schedule and coordinate patient appointments and maintain communication regarding care schedules.
- Manage inbound and outbound medical records, ensuring proper documentation and organization.
- Maintain accurate EMR records by updating care notes, face sheets, and ensuring patient information integrity.
- Attend clinical meetings, take detailed notes, and follow up on action items and project timelines.
- Collaborate with physicians, engineers, designers, and care team members to improve patient care delivery.
- Resolve patient issues and complaints professionally, identifying problems and finding appropriate solutions.
- Achieve daily call quotas of 75–100 interactions and adhere to established performance metrics tied to incentive plans.
Qualifications
- Bachelor's degree in a relevant field such as healthcare, nursing, or a related clinical discipline.
- 2+ years of professional experience in a customer service or healthcare setting with care coordination experience.
- Solid grasp of the US healthcare system.
- Exceptional written and verbal English communication skills.
- Strong attention to detail, organizational skills, and ability to multitask in a fast-paced environment.
- Proficiency with CRM systems, EMR software, and standard office applications (e.g., Google Suite).
- Training or experience in clinical medicine (nursing degree, nursing assistant, or clinical scribe).
- Typing speed of at least 60 words per minute.
- Reliable internet connection (at least 30 Mbps) and a quiet home environment for work.
- Ability to work in US time zones (EST), including possible shifting schedule and weekends.
Skills
- Experience with medical terminology (nice to have).
- Familiarity with remote patient monitoring systems (nice to have).
- Knowledge of HIPAA regulations and healthcare privacy practices (nice to have).
