About the Role
As the Global Event Operations Specialist, you are the strategic and technical architect of our flagship international conventions. This is a high-impact leadership role requiring a blend of master-level project management, technical production expertise, and rigorous financial stewardship. You will support the entire event lifecycle; from bidding and venue site inspections to "Show Day" command, ensuring every global event is brand-aligned and flawlessly executed.
Responsibilities
- Strategic sourcing & venue selection: Prepare and manage RFPs, evaluate production companies via technical presentations, scoring criteria, and quotations; conduct technical site audits at venues (e.g., Kintex, Impact, SECC) to verify technical specs, physical area, accessibility, and safety compliance; collaborate on visual graphics, mood boards, and digital assets to ensure consistent attendee touchpoints.
- Comprehensive planning & financial oversight: Master venue-specific technical specifications (load-in protocols, power requirements, local advertising opportunities); build and track detailed line-item budgets with 10% contingencies, manage grant disbursements, and perform post-event consolidation; review legal agreements with venues and vendors (force majeure, cancellation, attrition).
- Global logistics & VIP care: Coordinate travel, housing, ground transport for Executives, VIPs, and international staff; work with catering on diverse menus to meet dietary and cultural requirements; liaise with government institutions for grants, VISA assistance, and media support, including protocols for high-risk markets.
- Operations & show-site execution: Assist in compiling the "Event Bible" and "Event Kit," establish and support the "War Room" as the central communications hub, oversee load-in/load-out, lead technical checks (AV, lighting, slide transitions), maintain the Master Run of Show with 0% program drift, and verify wayfinding, booths, and VIP areas for brand and safety standards.
- Post-event stewardship: Reconcile final invoices against original quotes and on-site additions, flag unauthorized labour or overcharges before approving payments; document venue condition to mitigate damage charges and secure company assets; support wrap-up meetings and provide performance analysis against KPIs.
Qualifications
- 5+ years' experience in large-scale international event production, global congress management, or high-end corporate incentive travel.
- Proficiency in CAD or similar floor-planning tools to verify technical builds against drawings.
- Expertise in Excel or project management software (e.g., Asana, Smartsheet) for complex line-item budgets and multi-phase milestone tracking.
- Understanding of AV desk operations, lighting cues, slide-deck transitions, and stage management.
- Experience with travel management systems and hotel rooming-list software for coordinating international movement for large teams and VIPs.
- Ability to manage high-volume, real-time communication channels (e.g., WhatsApp, Slack, Radio) under "War Room" pressure.
- Readiness for frequent international travel for site inspections, food tastings, and show-week execution.
